ENTERING ACTIVITY DATA
2:05 — Begin Activity Entry
2:08 — Step 1: Select the Month
Click the next empty row under Month and choose the month you’re reporting.
2:16 — Step 2: Enter the Date
Skip the Score column — it calculates automatically.
Enter the date in MM/DD/YYYY format. Example: 05/01/2026 for May 1, 2026.
Excel for the Web also allows selecting from a popup calendar.
2:40 — Step 3: Choose Category & Subcategory
Choose the Activity Category — this determines scoring. Then choose the Subcategory that best describes the activity.
If you’re unsure or don’t see a suitable subcategory, contact the Department Senior Vice.
2:59 — Step 4: Select Activity Level
Activity Level affects scoring:

Detachment = 5 points
-
Department = 10 points
-
Division = 15 points
-
National = 20 points
You should see the Score column begin calculating.
3:15 — Step 5: Enter Number of Members
Enter the number of members who participated.
Scoring rules:
-
Activities: +1 point per participating member
-
Recruiting: enter number of new recruits
-
Eagle Scouts: enter number of awards
-
Donations: enter 1
Eagle Scouts, Donations, and Recruiting have different scoring rules than Activities.
3:50 — Step 6: Enter Donation Amount (if applicable)
If the activity is a donation, enter the amount.

Donations $100 or more earn points
-
All donations are recorded
If donating smaller amounts to multiple people or organizations:

Enter the number of recipients in Number of Members
-
Combine the total donation amount and enter it in Donation Amount

Record recipients in the Description field
4:24 — Step 7: Enter Eagle Scout Awards
Enter the number of Eagle Scout Good Citizenship Awards mailed or presented.
Rules:

Each date requires its own entry
-
If one is mailed and one is presented, create separate lines

Enter number of members present at the Court of Honor
-
Enter the Scout’s name in the Description field
4:50 — Step 8: Community Service Hours
Community Service Hours represent time your detachment volunteers outside the organization, serving the community.
A nonprofit is treated like a person under the law — it can act, decide, and serve, but its motivation is its mission.
5:25 — Step 9: Enter Community Service Hours
Enter the number of hours the membership contributed as a whole.
Example: Two members volunteer 5 hours each →

Number of Members = 2

Community Service Hours = 5
-
Total Volunteer Hours = 10

Total Volunteer Value = $350
Always round up to the next whole hour.
6:06 — Step 10: Enter a Clear Description
This is one of the most important fields.
Include:

Activity details
-
Donation recipients
-
Recruited member and recruiter
-
Eagle Scout names
-
Locations and context
Example: “Sean Downey and John Doe handed out food at the VA Clinic in McAllen, TX.”
6:29 — You’ve Entered Your First Activity
To enter your next activity, repeat the steps on the next available line.
Notes:

Order doesn’t matter — sorting can be done later
-
Monthly sheets automatically organize your entries

Do NOT delete rows or columns
-
Contact the Department Senior Vice if you have issues
7:30 — Submitting Your Monthly Activity
When you’re done entering your activity for the month, email the Department Senior Vice to let them know. They will download your data for the master report.
